All business aspects love automation. There’s few things better than not having to do something, knowing that it will be done automatically for you. Automation will saves us effort, time, effort and allows us to spend more time doing what really matters, like, going to the movies, get your hobby, or spend time with your family.
Up until now, workflow rules where the main tool by which you could achieve automation within Salesforce.
But there’s a new kid in town: the pompously named “Kecak Workflow”. Announced in last year summer. Kecak Workflow is a web based lightning process builder which is the best out there to automate your workflow. And I’m here to show you the major advantages of workflow automation and why you should ditch your old habits and start using this new Process Builder.
1. The Visual Aspect
The first thing you’ll notice when you start using the process builder (Setup > Create > Workflows & Approvals > Process Builder) is that it looks nothing like your standard Salesforce page. With its slick and streamlined appearance it makes creating automation feel like a walk in the park.
The other big visual advantage of this layout is that it allows you to see almost everything in the same page, and with a few clicks of the mouse you can access all else, without ever sacrificing the main view of the process.
2. Improve Quality
Automating work activities means that you are able to match work with staff who have the appropriate skills, rather than assigning work on the basis of who happens to be available. The latter method of assigning work acts to compromise quality standards, the former ought to maintain or improve them.
3. Focusing Management Thinking on Strategy
Automation reduces the need for management oversight of daily operational issues – the workflow system itself acts as over watch, notifying management of issues rather than requiring constant monitoring by them. Reducing time spent on operations management means more time is available for strategy and growth activities.
4. Number And Type Of Actions Available
This is the big one. The process builder will allow you to automate a number of actions that you have never been able to automate with a workflow.
But, before we get to that, let me just point out that you can no longer trigger a flow through a workflow rule. This is now solely a process builder action. Consider yourself warned!
Amongst the actions you are able to perform with both a process and a workflow rule are the email alert, the action trigger (quick action in the process builder) and the field update (update record in the process builder). These work in pretty much the same fashion on both tools.
But like I mentioned before, the real value of the process builder comes from allowing you to execute a number of actions you won’t be able to run with a workflow rule, such as:
- Create a record
- Launch a flow
- Post to chatter
- Submit for approval
5. Reducing Errors, Improved Communication, Scalability
The right Workflow Automation solution will eliminate all manual and human error that would otherwise cost precious time and resources to address. The system will notify late actions, non-approvals, overlooked tasks and more. Employees no longer need to manually notify each other when a process is complete or moves from one role to another.
Notifications and status updates keep all team members involved and informed. And when mundane and manual tasks are automated, resources open up for an organization’s ability to grow. With the right Workflow Automation solution, a company can eliminate bottlenecks and meet new demands.
